Asset Library

The Asset Library is the account-level home for reusable images, PDF resources, Teams-hosted audio, and external links. Open Dashboard > Asset Library to upload a file once, find it later, and manage assets without creating separate media libraries.
What belongs in the Asset Library
Images
JPG, PNG, WebP, and GIF files used for headers, cards, answer choices, and other visual fields.
PDF resources
Private PDF files such as guides, checklists, worksheets, and downloadable reference material.
Hosted audio
Teams-hosted podcast episodes, guided recordings, testimonials, previews, and other reusable audio.
External links
Reusable web addresses for resources hosted elsewhere, including guides, booking pages, and downloads.
Use the All, Images, PDFs, Audio, and Links filters to narrow the library. Search matches an asset's filename or display name.
Add an asset
- Open Dashboard > Asset Library.
- Select Upload file for an image, PDF, or Teams-hosted audio file, or Add link for an external resource.
- Choose a supported image or PDF no larger than 10 MB, an audio file no larger than 50 MB, or enter an HTTP or HTTPS web address.
- Confirm the asset appears under the appropriate filter.
- For images, add useful alt text that describes the image's meaning or purpose.
Uploading the same file again does not create another copy. QuizFlow Labs recognizes duplicate file content and returns the existing asset.
Supported formats and delivery

Existing image pickers show only image assets. Adding a PDF or external link to the Asset Library does not make it selectable in a header-image, media-card, or split-layout image field.
Uploading and selecting hosted Asset Library audio requires an active Teams plan. Teams workspaces receive 2 GB of hosted audio storage. The Asset Library shows current usage and warns at 75%, 90%, and 100%. At 100%, new uploads pause, but published audio continues to play. Workspace owners can remove unused files or contact QuizFlow Labs for a larger allowance. Spotify, Apple Podcasts, SoundCloud, Mixcloud, and direct public audio links remain available on every plan.
Asset Library versus File Upload
These features solve different problems:
- Asset Library contains files and links that the flow owner manages and reuses.
- File Upload block collects documents or images from a participant as part of a response.
- Participant uploads stay attached to the corresponding submission and do not appear in the Asset Library.

Asset Library versus Knowledgebase Library
The Knowledgebase Library contains sources intended for AI-assisted experiences and retrieval. The Asset Library contains presentation and resource assets managed by the flow owner. Uploading a PDF to the Asset Library does not automatically make it an AI knowledge source.
Use and deletion
- Select Open to inspect an asset.
- Select the copy action to copy its managed address.
- Image and audio cards show how many current flow locations reference the asset.
- An image or hosted audio file that is still referenced cannot be deleted until those references are removed.
- Deleting a PDF or external link removes it from the Asset Library.
Before deleting any shared asset, confirm that it is no longer needed by an active draft, published experience, or team workflow.
Use a PDF in a Flow or Bio Funnel
Images remain available throughout existing image controls. To present a PDF to participants, add the shared PDF / Resource block to a Flow or Bio Funnel and select the Asset Library file. The block supports inline preview, download, lead-gated access, a secondary CTA, and resource engagement analytics.
Use hosted audio in a Flow or Bio Funnel
Add the shared Audio / Podcast block, then select Choose hosted audio. You can reuse an existing recording or upload a new one. Hosted audio supports the same artwork, context, presentation, routing, and verified playback analytics as direct audio.
Organize more than one podcast
Teams workspaces can associate hosted audio with a Show or Brand and add optional tags. Use the Show as the reliable boundary between podcasts, clients, or publishing identities; use tags for flexible topics such as “guest interview” or “start here.” Audio without a Show remains available under Unassigned and is never deleted merely because a Show is archived.
